Office of Public Works

OPW – Case Study

CUSTOMER BUSINESS

The Office of Public Works (OPW) is a government office that delivers public services for flood protection, managing government properties and heritage services.

NEW INFRASTRUCTURE TO BOOST MANAGABILITY, AGILITY AND SCALABILIITY

The OPW provides compliance management and manages associated maintenance activities of all property in Ireland that are owned or operated by the Irish Government. Some activities are outsourced to third parties and the creation, assignment, reporting, recording, and tracking of these activities were managed by manual and paper processes supported by Excel and email.

The OPW needed an environment that would support the OPW in managing their workflows, was flexible, would improve the capture and maintenance of all data and support the manual and automatic job allocation both internal and external to the organisation. It also required the ongoing management of repair activities while standardising all reports and simplifying information recording, reporting and analysis.

The OPW also required mobility to allow external contractors the ability to capture information even when network access was not available. It was important that all captured inspection information is maintained online with access to all reports including photographs, etc.

MIGRATING TO AN INNOVATIVE SOLUTION

The OPW selected the VERTHOS Digital Workflow Platform from Checksolo, based on its flexibility and simplicity to integrate into the OPW environment. VERTHOS provides the OPW with secure access to all data through its extensive API and on-demand data export facilities.

VERTHOS is supplied on a SaaS basis, providing a fully configurable compliance platform, that allows the OPW to dynamically manage and control the inspection information of its property portfolio. The VERTHOS solution provides both a browser-based web app and a native mobile app version of the application to support distributed and remote working environments where communication access is limited or non-existent.

“VERTHOS provides us with a flexible platform that manages our compliance inspections and associated maintenance activities in a paperless environment. It provides immediate access to inspection reports, including photographs and documentation, which provide important compliance and safety information about the building infrastructure. The system is easy to use by both employees and external contractors, improving accuracy of data capture while significantly reducing the time spent on management of activities.”
